We are seeking a stellar freelance Senior Producer with superb management skills, expertise in developing and managing large budget projects, and someone who has experience producing high profile events in our industry of experiential marketing & event production. The ideal candidate is able to start ASAP (next week) on a 6-week contract and must live in the LA area.

Primary Activities and Responsibilities:

  • Work with clients to determine event details and guide expectations to ensure a successful event
  • Manage & maintain client relationships on production related issues
  • Build thorough understanding of client’s business
  • Develop working knowledge of agency’s capabilities
  • Directly responsible for management of components of events within account base
  • Possess the ability to understand the realities of production when combined with a strong creative idea – ensuring the proper balance of “pushing the envelope” and feasibility
  • Convey an understanding of cost estimating and properly pricing a production within budget constraints, while remaining committed to delivering the agency’s margin threshold
  • Maintain strong relationships with various vendors across all production categories; leveraging existing relationships and working to establish new ones.
  • Collaborate with the existing members of the agency’s production department, while also challenging fellow Producers and team members to stay on the forefront of what’s possible and compelling
  • Be a pro-active trouble-shooter vs taking a reactionary approach following incidents
  • Assist in leading RFP response and proposal generation
  • Idea generation in production meetings for event proposals/RFP response
  • Work directly with creative team to generate budget and evaluate production aspects of proposed concepts
  • Mentor and manage more junior team members including temporary event staff
  • Provide onsite, hands-on assistance for programs, tours and events as needed
  • Identify and resolve problems (and develop alternative solutions) in a timely manner
  • Gather and analyze relevant event information skillfully

Event Planning and Production:

  • Assist with negotiations for space contracts and book event space, order supplies, equipment, and other event related materials as needed
  • Conduct site inspections, and client & vendor walkthroughs
  • Source venues and vendors and negotiate contracts with venues and vendors
  • Solicit multiple bids when necessary
  • Obtain city permits
  • Aggressively gather information on each project to achieve quality event productions
  • Conduct research, make site visits, and find resources to help staff make decisions about event possibilities
  • Liaise with in-house Design and Operations divisions to reach client goals for each project
  • Hire, train and manage event/promotion staff and coordinate with preferred staffing agencies
  • Propose new ideas to improve the event planning and implementation process
  • Manage production schedules, production documents and pre-production logistics
  • Responsible for creating and managing all documents such as run-of-show, contact lists, workback schedules, pick up lists and inventory grids with support from junior staff. Ongoing updates without specific producer direction should be made throughout event

Event Administration:

  • Budgets – Develop and manage project budgets and project profit margins
    • Responsible for day-to-day updating of budgets and reports to Producer or director of budget status
    • Responsible for managing junior team members on expense grid input and should fully review and check expense grid and budget prior to turning over to Producer during both pre-production and wrap process.
  • Wrap events
  • Track event finances including check requests, invoicing, and expense reporting and provide periodic status reports to staff directors for each event project
  • Prepare and modify event contracts as requested
  • Utilize agency resources and tools appropriately and efficiently in conveying all necessary information (i.e. Terms and Conditions, Purchase Orders, production job starts)
  • Communicate project changes and progress
  • Oversee applicable contracts and payment schedules with accounting department
  • Ensure that purchase orders, project numbers and service orders for events are assigned and opened

  • Self-starter, does not need micro-management to follow up and complete tasks, leader to junior team members, exemplary organization skills, understanding of big picture budget management, strategic thinking about overall event plans, understanding of basic build and production elements, approaches problems with a solution based attitude, goes above and beyond on all tasks
